Privacy notice
Last updated: . This notice explains what personal data we collect when you use this website or book a session, why we need it and what your rights are.
Who we are
South Yorkshire Sweet Science is run by Naphtali Nembhard (“Nap”). Nap is the controller of your personal data, which means he decides how it is used and is responsible for looking after it. If you have any questions about this notice or your data, email nap@southyorkshiresweetscience.co.uk.
What we collect
When you request or book a session
- Your name, email address and phone number.
- Your boxing experience (new, some or experienced) and any notes you choose to add.
- For private group sessions, how many people are coming.
- The session you chose, its date and time, your booking reference and its status.
- The date and time you agreed to the booking terms.
If you tell us about an injury or medical condition in your notes or by email, that is health information. We only use it to keep your training safe.
If you create an account
Accounts are provided by Clerk. Clerk stores your email address and the details needed to sign you in securely. We link your account to your bookings and to any prepaid sessions added to your email address.
When you email Nap
Your email address, your message and anything you include in it.
When you pay
Payments are taken on Tide’s own payment pages, not on this website. We never see or store your card details. Nap can see the payments made to him in his Tide account so he can match them to your booking. Tide handles your payment information under its own privacy notice.
To keep the site working and secure
- To stop spam and repeated requests, we store a scrambled (hashed) version of your IP address and email address, which cannot easily be turned back into the original.
- We use Vercel Web Analytics and Speed Insights to count page visits, measure how fast pages load and see which booking steps are used. They do not use cookies and are not used to identify you.
How we use your data and why we are allowed to
- To handle your request and provide your sessions: holding and confirming your time, sending your calendar invite and booking emails, managing prepaid sessions, and contacting you about changes. The lawful basis is contract, including the steps you ask us to take before a booking is confirmed.
- Health information you choose to share: used only to adapt or pause your training for your safety. We rely on your explicit consent, which you can withdraw at any time by emailing nap@southyorkshiresweetscience.co.uk.
- To run and protect the site: preventing spam and misuse, keeping the site secure and understanding how it is used so we can improve it. The lawful basis is our legitimate interests in running a safe, reliable booking service.
- To keep financial records: records of payments and bookings that we must keep by law. The lawful basis is legal obligation.
We do not sell your personal data, and we only use it for the purposes described here.
Who we share it with
We use a small number of trusted providers to run the booking service. They act on our instructions:
- Turso: stores booking and account records in our database.
- Microsoft 365: Nap’s Outlook calendar and email. Your booking, including your name, contact details and notes, is added to his calendar, and booking emails and invites are sent from his mailbox.
- Vercel: hosts this website and provides the cookie-free analytics described above.
- Clerk: provides accounts and sign-in.
Tide processes payments as a separate business under its own terms and privacy notice. We may also share information if the law requires it.
Some of these providers are based in, or use systems in, countries outside the UK. Where your data is transferred outside the UK, it is protected by safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.
Cookies
We do not use advertising or tracking cookies. Our sign-in provider, Clerk, uses a small number of strictly necessary cookies to manage sign-in and keep accounts secure. Our analytics do not use cookies.
How long we keep it
We keep your personal data only as long as needed to provide your sessions and meet legal obligations, such as keeping financial records. After that it is deleted or anonymised.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use it, or object to us using it;
- ask for your data in a portable format;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email nap@southyorkshiresweetscience.co.uk. We will reply within one month. Some rights have exceptions, for example where we must keep records by law, and we will explain if one applies.
Complaints
If you are unhappy with how your data has been handled, please email nap@southyorkshiresweetscience.co.uk first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint.
Changes to this notice
If we change how we use your data, we will update this page and the “Last updated” date above. See also our booking terms.
